About the Role
SoFete seeks a mission-driven Virtual Assistant who can dedicate the majority of their time to community and program outreach (60%), while also handling core administrative support (40%).
In this role, you'll help us expand our volunteer, customer, and partner base online — while keeping inboxes, calendars, and task boards running smoothly — so our small team can stay focused on delivering impact.
💼 What We’re Expecting You to Deliver
🔸 Engagement & Outreach (60%)
→ Community Interaction: Reply to comments and DMs within 12 hours, welcome new followers, and spark mission-centered conversation threads.
→ Targeted Group Outreach: Join and actively participate in niche Facebook groups, LinkedIn communities, subreddits, and forums where our ideal volunteers, clients, or partners gather. Share insights, answer questions, and organically introduce our programs.
→ Direct Lead Nurturing: Send personalized follow-up messages or emails to warm leads generated through posts, events, or referrals. Log and tag them in our CRM.
→ Collaborate with Content Specialist: Share timely copy points and FAQs for upcoming posts. Flag trending questions that may need new or updated content.
→ Light Campaign Analytics: Pull basic data (reach, engagement, click-through, conversions) from platform dashboards. Compile a one-page monthly insights report with recommendations for quick-win experiments.
→ Partner & Grant Scouting: Monitor LinkedIn and two grant databases for collaboration or funding opportunities. Summarize 3 qualified leads per month (no proposal writing required).
🔸 Administrative Support (40%)
→ Email & Calendar Management: Triage the organization's inboxes twice daily, draft/proof email replies, and maintain the leadership calendar.
→ Task Board Upkeep: Keep our digital task boards up-to-date with deadlines, tags, and priorities.
→ Document & KPI Maintenance: Maintain clear folder structures and version control in Google Drive. Refresh our monthly KPI snapshot using a pre-built template.
Requirements
Experience & Skills
At least 1 year experience as a Virtual Assistant, Community Manager, or similar role involving outreach and admin support.
Proven ability to engage online communities (Facebook Groups, LinkedIn, Reddit, etc.) in a mission-driven, human-centered way.
Proficiency with: Social platforms (Instagram, Facebook, LinkedIn)
Basic analytics tools (platform dashboards, Meta Business Suite, etc.)
Google (Docs, Sheets, Calendar, Gmail, Outlook) & MS 365
CRM systems (Salesforce for NPO)
Project management tools (MS Loop, MS Planner)
Strong written communication skills, with the ability to draft clear and warm replies to both community members and professional partners.
Basic understanding of lead generation and relationship-building strategies.
Comfort summarizing light data insights (engagement metrics, outreach tracking, etc.) into one-page reports.
Detail-oriented with excellent time management, especially with email/calendar handling and digital organization.

A deep respect for Black-led and women-centered community work, ideally with lived or professional experience in mission-driven environments.
Nice to Have (but not required)
Familiarity with grant prospecting platforms (Instrumentl, Candid, Foundation Directory, GrantsGov, etc.).
Experience with Canva, Blaze.Ai or basic design tools for light content collaboration.
Prior work in a nonprofit or grassroots organization.
Knowledge of trauma-informed practices or healing-centered language is a plus.
